Office Specialist Description

Do you possess excellent organizational skills and have a natural flexibility in handling day-to-day routines?

EPAM Cyprus is looking for a diligent and professional Office Specialist to join our team in Nicosia. You will manage and optimize the efficiency of our administrative and facility operations. The successful candidate will be pivotal in ensuring smooth office functions and maintaining an organized workspace.

Responsibilities

  • Efficiently schedule and manage meeting room utilization, ensuring cleanliness and orderliness
  • Coordinate office repair, maintenance and cleaning activities
  • Manage inventory of office supplies, forecast needs and place proactive orders
  • Welcome visitors and manage a detailed Visitor Registry
  • Distribute incoming emails and physical mail, manage dispatch with courier services
  • Process, administer and verify accuracy of invoices, engage with vendors to resolve issues
  • Maintain records and ensure compliance with Health, Safety and Environmental regulations
  • Maintain records of office assets including keys and electronics, manage databases with essential contacts
  • Manage communications, assist with new employee onboarding and support company events and travel arrangements

Requirements

  • Secondary or higher education with professional training in administrative and facility office operations
  • At least one year of relevant experience in a similar role
  • Proficient in English and Greek, both written and spoken
  • Highly proficient in Microsoft Office applications
  • Capabilities in managing correspondence, organizing schedules and handling documents effectively
  • Highly organized with the ability to prioritize tasks and meet deadlines, meticulous attention to details, punctuality, excellent teamwork and communication skills, proactive approach to problem-solving
