Office Specialist Description

We are seeking an Office Specialist to join our team.

In this role, you will be the first point of contact for clients, providing exceptional front-of-house service and administrative support to the Office Manager and staff.

Responsibilities

  • Meet and greet guests in a friendly and secure manner
  • Maintain a safe and pleasant office environment while supporting Health & Safety responsibilities
  • Manage meeting rooms, ensuring they are clean and prepared for each meeting
  • Answer and receive phone calls, handling inquiries efficiently and escalating messages as needed
  • Distribute incoming mail and organize local and global courier shipments
  • Regularly check inventory and order office and kitchen supplies
  • Assist in planning and implementing events such as meetings and staff parties
  • Provide administrative support to the management team for daily activities
  • Assist with ad-hoc facility requests from the Office Manager
  • Support the vendor management process effectively
  • Contribute to the ESG reporting process by collecting relevant data
  • Make purchases for office supplies and stationery as required

Requirements

  • Experience in office and facilities management with at least 2 years in a client-facing role
  • Demonstrated leadership experience in managing office environments
  • Background in administrative support within an office setting
  • Proficiency in Microsoft Office programs, including Word, Excel, and Outlook
  • Strong organizational skills and effective time management abilities
  • Good telephone manner and interpersonal skills
  • English proficiency at a conversational level
